SCOTTISH HOCKEY – OFFICE ADMINISTRATOR
SALARY c£17k
Hours; 37.5 hours per week including occasional evening and weekend work
Contract; Fixed Term Contract to March 2019
Base; – Glasgow National Hockey Centre.

Scottish Hockey, (SH) is the national governing body for hockey in Scotland, We provide opportunities for individuals of all ages to be involved in hockey in Scotland, whether as a player, coach, official or volunteer.
We have over 9000 members across our 113 clubs, and thousands of other players in schools and universities.
We introduced a new strategic plan for hockey in Scotland in 2015. The plan focuses on improving our sport at all levels and has a number of key performance indicators for the organisation to deliver against.
We have a long history of providing players for Great Britain, with two of our players medalling at London in 2012, and 6 players currently part of GB Squads for the Rio games later this year.
Our performance team supports the growth and development of players through our pathway programme from under 16 to our full international teams. Our women’s side are one of the top 6 sides in Europe, and are aiming for World Cup Qualification and a top 4 finish in the Commonwealth Games in 2018. Our men have shown recent improvements and narrowly missed out on promotion to the top European tournament. Our aim for the men is to rise to the Top 6 in Europe and qualify for the World Cup in 2022.
We have shown sustained growth in membership over the last 2 years, with a 14% increase in the last 12 months. Most of that growth is in youth members, who are taking the first steps towards potentially representing their country.
We support our clubs and districts with a variety of resources as they strengthen and grow including four regional development managers who work with a number of our clubs across Scotland. Our clubs vary from single teams, to mixed clubs with over 10 teams and we have clubs across Scotland from the Borders all the way to Shetland and Orkney.
We have a strong relationship with sportscotland who provide support for a range of our coaching, development and performance programmes.
We have an opportunity for an office administrator to be an important part of our team based at the Glasgow National Hockey Centre at Glasgow Green.

Key responsibility
The Office Administrator will provide administrative support to the office and take charge of the day to day effective running of the office.

Job Role
• Build great relationships with all key customers and suppliers.
• Lead on relationship with IT Supplier, and understand and solve Basic Problems, ensuring that systems are fully functioning and backed up. Escalating issues to IT provider if required.
• First point of contact for office based contracts.
• Lead responsibility for the Scottish Hockey Info email address, email management and responding to, or forwarding emails as appropriate.
• Take payments and support invoicing and payments.
• Day to Day relationship with Scottish Hockey insurer and other key customers.
• Working with Glasgow Life on the day to day facility management of the office
• Responding to customer enquiries.
• Maintain Policy Database.
• Maintain HR documentation.
• Ensure Office Health and Safety is maintained.
• Note taking support for meetings
• Research and book venues, accommodation, and transport as required.
• Responsibility for the Office budgets
• Other general office duties as required

Person Specification and Skills Requirements
• Highly organised with excellent attention to detail,
• Good IT skills, including email management and basic problem solving.
• Excellent written and verbal communication skills including minute taking
• Flexible to support our Domestic Game and Performance teams
• Ability to undertake basic financial administration tasks and processes
• An understanding of working with volunteers
• Advanced knowledge of Microsoft applications.
• Experience of Sage 50 an advantage.
