Zak Group is London-based design studio formed in 2005 as a collaborative practice to explore the possibilities for design in the production of culture. We work with leading arts organisations, museums, businesses and leaders from around the world on projects ranging from art direction, visual identity, signage, websites and exhibition design.

We are seeking an experienced, personable and enthusiastic studio manager with previous administrative experience to join our growing team. The studio manager would join a team of passionate individuals committed to maintaining a positive and professional work environment.

Responsibilities:

project management: developing project schedules, ensuring briefs are dispatched within the studio, managing workflow, coordinating staff, ensuring work is delivered on time, monitoring time tracking
client communication: keeping clients updated on project status, writing and editing client communication and design presentations
day-to-day finances: estimates, contracts, billing, forecasting, preparing materials for accountant -office maintenance: developing internal systems, maintaining office stock levels, archiving file copies, managing online shop by adding items and fulfilling orders
PA support to directors: scheduling and managing diaries, booking travel, correspondence, taking meeting minutes
HR: monitoring annual leave, assisting in hiring processes, drafting staff contracts
IT: basic troubleshooting of technical problems, liaising with technology vendors and external tech support as needed
press: acting as first point of contact for press enquiries, developing media communications such as newsletters, press releases and social media content
business development: contributing strategically to the growth of the studio by identifying and fostering relationships with potential clients

Essential:

minimum of two to three years experience working in an administrative capacity within design and/or cultural sector
excellent written, editing and presentation skills
ability to represent Zak Group to clients, press and relevant events
able to manage a team and work collaboratively in a fluid environment under pressure and tight deadlines
impeccable organisational and time management skills
overall familiarity with graphic design, editorial processes and design software
flexible, highly driven, self-motivated and punctual
commitment to working well as part of a team
valid UK/EEA work permit

Beneficial:

existing relationships within cultural sector within the fields of contemporary art, design and architecture, including museums and biennials within the UK and abroad
knowledge of print and production processes
proficiency in current design software: Adobe InDesign, Photoshop, Illustrator
familiarity with an editorial style guide such as the Oxford Style Manual or Chicago Manual of Style
degree in Design Management or similar
ability to speak a second language
