Operations Assistant – Ski Club GB

Job Description
We are looking for an outstanding organiser and administrator to join the Freshtracks team at the Ski Club GB. The job role is varied and you will need to be the kind of person that can juggle many different things and will be on top of what is happening, what needs to happen and what might happen at all times!

Reporting in to our Operations Manager, you will come with some office and administration experience and exemplary organisational skills. You will need to be a quick learner with a pro-active can do attitude who is willing to get involved and get the job done. While the majority of your time will be spent on holiday operations, at busy times you may also need to help out on the phones and deal with customer enquiries and bookings.

You will be part of a vibrant busy team – and organisation – and will play a key role alongside the sales team in ensuring the success of the Freshtracks holiday programme.

Holiday operations responsibilities
Departmental admin
Liaison with all hotels and accommodation – updating with booking levels/checking availability/room & special requests/adhering to contract deadlines/confirming bookings/paying deposits
Transfers – Organising and confirming transfers
Flights – Submitting flight change requests/checking and adding passenger names
Liaison with and prepping leader packs for the holiday leaders to ensure they have everything to run the holidays smoothly
Added extras/after sales products – negotiating, organising, coordinating, communicating and selling additional extras – eg: lift passes & ski hire
Manage and process final balance payments
Organisation of kit for holidays – phones, transceivers/shovels/probes
Preparing travel itineraries and sending out flight information
Processing post-holiday administration, ski standards and accounts
Collecting and analysing client feedback before making appropriate responses
Occasional Saturday and evenings work required throughout the season

Personal qualities:
Essential
• Strong administration & organisation skills
• Previous office experience
• Self-motivated team player
• Computer literate – Word processing, spreadsheet and database packages
• Good written and oral communication skills (including letter layout)
• Proven attention to detail
• Numerate
• Good telephone manner
• Ability to work under pressure
• Used to working to deadlines
• Enthusiastic skier/snowboarder

Desirable
• Experience in / knowledge of the ski/travel industry
• Worked a ski season
• Language skills in any of French/German/Italian – Spoken and written
