Projects and Support Officer – Milton Keynes – Table Tennis England

Job Description
Table Tennis England is the National Governing Body for table tennis in England. During 2013 and 2014 the organisation undertook a complete review of its strategic direction including a significant restructure and governance review to align the organisation with new targets through to March 2017 and beyond. This coincided with a re-branding exercise and a relocation of the Head Office function to Milton Keynes in March 2014. These factors signal a major change in the growth and development of table tennis in the years ahead.

JOB SUMMARY:
This new role will be part of Table Tennis England’s effort to drive up participation in table tennis. The job holder will provide administration and project support to the development team in their work to develop plans and implement projects aimed at the growth and retention of table tennis participants in England. The role will also take a lead customer service role ensuring excellent customer care in relation to department projects as well as providing wider organisation support.

KEY RESPONSIBILITIES:
• Provide support and administration for agreed projects, attending relevant events and planning meetings.
• Take a lead role on clubs and disability project coordination and administration, including Clubmark, the Ability Club support scheme and Satellite Clubs.
• Work with team members to develop and manage administration processes, systems and databases for identified programmes and projects, inputting data as required and ensuring accurate and up to date information is available at all times.
• Produce newsletters, website articles and programme material to promote key projects and initiatives.
• Coordinate and obtain information to create articles, reports and funding applications being prepared for advisory boards, internal and external groups.
• Co-ordinate, organise and plan national department meetings and events.
• Maintain a department contacts list and calendar of meetings and events.
• Provide administrative support to the Head of Development, including travel and accommodation bookings, stationary orders, minute taking, letter writing and proof reading.
• Act as a central point of contact for development enquiries.
• Contribute to organisation wide customer service support, responding to general and common enquiries.
• Work closely with other customer service focused roles to maintain high standards of care and to ensure the most efficient, customer focused systems.
• Act as an ambassador and advocate of Table Tennis England.
• Undertake such duties as may be required from time to time as are consistent with the responsibilities of the post and the needs of Table Tennis England.

PERSON SPECIFICATION/KEY SKILLS
Qualifications
• Educated to A Level standard or equivalent.
• A minimum of 5 GCSEs including grades A* to C in English and Maths.

Previous Experience
• It is likely the candidate will have at least one year’s experience in an adminstration/coordination role.
• Experience of managing administration processes and providing administrative support to multiple projects.
• Experience in a customer service focused role.
• Experience of organising meetings and events.

Personal Attributes and Skills
• An interest in and knowledge of the structure of table tennis in England is desirable.
• IT literate, a confident user of word, excel, outlook and powerpoint.
• Good numeracy skils
• Excellent oral and written communication skills, with the ability to clearly and concisely communicate considering the needs of the audience.
• Strong time management skills with the ability to prioritise multiple tasks to meet strict deadlines.
• Highly organised approach.
• Good eye for detail.
• A team player, able to work effectively across all parts of the organisation to achieve goals.
• A high level of energy and drive to follow through on tasks and projects.
• A solution focused approach.
• The ability to work with diplomacy and confidentiality.
• The ability on occassions to travel to meetings and events outside of the office.
• Willing to work occassional unsociable hours, including evenings and weekends.
