Office Manager / Personal Assistant – Accept & Proceed – London

We are designers. We work in print, interactive media and spaces. We engineer brand identity, establishing or reinforcing a brand’s strategic foundations.

The company is in the midst of gearing up for truly ambitious and exciting growth, with the newly created role of PA/office manager forming a key part of this. This is a pivotal role within the company, ensuring the smooth running of the office and supporting a very busy, small team.

You will be highly organised with a real sense of urgency and the ability to remain calm under pressure. A sense of humour is essential.

You will need to work collaboratively. You will be a keen networker as you will need to build up and maintain key relationships with the best suppliers, colleagues and clients.

Main responsibilities:

managing phone calls, enquiries and requests
meeting and greeting visitors
organising and maintaining the team diaries and making appointments
dealing with incoming emails and post, often corresponding on behalf of the team
carrying out ad hoc research to support sales and marketing
putting together sales presentations and frequently updating them
assisting new business to put together client proposals
producing documents, briefing papers, reports and presentations prior to meetings
liaising with clients and suppliers
processing orders and managing stock levels of design prints sold by the business
organising and managing in-house design and new business events
office administration tasks including purchasing, invoicing and keeping systems up to date
managements of expenses and taking ownership of the new accounting system Xero
assisting with the recruitment and induction of new staff
devising and maintaining office systems, including data management and filing
arranging travel, visas and accommodation
taking notes or dictation at meetings, provide general assistance during presentations

Desired skills and experience

Requirements:

unrivalled attention to detail, eager to learn and ability to multitask
someone with a can-do attitude, who is a strong team player
excellent writing, analytical and organisational skills
a Mac user, and proficient Office user (Word, Excel, PowerPoint) Keynote and InDesign would be a key advantage
keen interest in premium design, brands, luxury marketing and marketing as a whole
appetite, aptitude and personality to work in a fast paced, entrepreneurial, busy environment
ability to work autonomously but at the same time show excellent communication skills
ability to use newly gained knowledge and skill on the job and to learn through application
marketing agency experience would be beneficial
experience with Harvest time management system would be advantageous
up to date with latest technologies

This is a new role to be filled as soon as possible.

Salary £18k – £24k depending on experience.

London position, applicants must be eligible to work in the UK.
